Previously, Medux relied on various tools like Google Drive and Outlook, which led to significant data fragmentation and inefficient collaboration. “We noticed a tremendous sprawl of files and shared drives,” says Suzanne, application manager at Medux. Employees struggled to locate information, resulting in frustration and reduced productivity. Furthermore, there was no clear governance defining who had access to which files, both internally and externally. The organization urgently needed a solution to better manage and control its data.

PortalTalk enabled Medux to maintain control over shared documents and team sites while making it easier for employees to access information and collaborate efficiently.
One major benefit was the ability to automate access controls, which improved the management of information shared with external parties. “With access reviews, users can see who has access to their files and manage it easily,” Suzanne adds.
Governance as a Foundation
A critical part of the project was the governance sessions, during which QS solutions worked with Medux to develop policies for the new digital workplace. “These sessions were essential,” Renske notes. “We didn’t just get technical solutions but also clear guidelines on how to implement the new practices effectively.”
From Email to Teams
Shifting to the new way of working required some adjustment from employees. “People were used to doing everything via email,” explains Jort from the communications department. “Transitioning to Teams as the primary communication tool was a cultural shift. But we’re seeing growing adoption of PortalTalk, and employees are recognizing its benefits.”
Prioritizing Security
Security was a top priority during the implementation. “As a supplier of medical aids, we handle sensitive information,” emphasizes Suzanne. “The new system gives us much better control over who has access to which information. With the planned implementation of Purview, we’ll be able to refine this even further.”
